THE CHALLENGE
Outdated Website and Manual Lotto Management
Community Link Foundation is a local regional based charity based in Southport, UK.
Working with a number of individuals and other charities across the region, Community Link Foundation had been running a monthly lotto to help raise funds to support the charity. Each month, a trustee member would call everyone subscribed to take payment over the phone, but with the charity growing and gaining more support, the number of calls and manually payments was becoming unmanageable.
In addition, the website was originally built some time ago and hadn’t been updated to reflect a modern day look and feel for users. It wasn’t responsive across laptops or mobile phones, so it was quite cumbersome to navigate.
That’s when the trustees reached out to The Digital Media Guys.
Key Challenges
-
Volunteers spent hours, if not days, contacting participants and tracking payments.
-
A lack of automation meant manually writing down entrant details for each draw, increasing the risk of errors.
-
The outdated website did not provide an easy way for supporters to participate in the lottery online.
THE SOLUTION
A Bespoke Subscription-Based Website
Digital Media Guys collaborated closely with Community Link Foundation to design and develop a WordPress-based website tailored to the charity’s specific needs. The goal was to create an efficient, user-friendly platform that would automate their lottery operations and reduce administrative burdens.
DMG developed a custom subscription system for the charity’s monthly lottery draw. Using Stripe for secure payment processing, the system allowed supporters to:
- Purchase lotto tickets directly from the website.
- Set up an automated monthly subscription for ongoing participation in the draw.
- Receive confirmation emails and manage their subscriptions through a user login area.
This eliminated the need for manual payment collection and ensured a seamless experience for both the charity and its supporters.
The new system automatically generated a complete list of entrants for each monthly draw, saving the charity countless hours of administrative work. Volunteers no longer needed to track payments or manually compile participant details, as the system provided everything in a downloadable and organised format.
The website was built with modern design principles, ensuring it was both visually appealing and functional. Key features included:
- A responsive layout for easy access on mobile devices.
- Clear navigation to highlight CLF’s mission, initiatives, and the lottery draw.
- Secure user accounts and payment gateways, ensuring participant trust.
As a gesture of support for the charity’s invaluable work, Digital Media Guys offered the website redesign and development services at a discounted cost, further strengthening CLF’s ability to invest in their core mission.
